Returns & Notifications is a product for ecommerce shippers. It provides a branded self-service returns experience for customers and gives retailers configurable tools to manage return eligibility, return reasons, carrier options, labels, exchanges, refunds, return tracking, and returns operations.
It can connect to retailer systems and carrier services to display eligible items, register returns, generate return labels or QR codes, exchange return data, process return outcomes, and communicate return status updates to customers.
Returns & Notifications include the following features:
-
Returns portal: A branded web interface that enables customers to identify an order, select items to return, provide return reasons, choose available return methods, and submit a return request.
-
Return eligibility and policy controls: Configurable rules for return windows, non-returnable items, item value limits, return reasons, item condition capture, approval flows, warranty returns, and other return policy requirements.
-
Integrations and data exchange: Support for order data retrieval, return merchandise authorisation data, webhooks, file exchange, ecommerce platform integrations, and updates back to retailer, warehouse, or order management systems, where configured.
-
Carrier, logistics, and label options: Support for carrier drop-off, pickup scheduling where available, QR code or label-free returns, additional labels, multi-carrier return methods, and carrier/service rules based on retailer configuration.
-
Refunds, compensation, and exchanges: Support for original payment refunds, gift cards, store credit, exchange requests, instant refund triggers, and return-save offers (where included and supported by the retailer's systems).
-
Returns tracking and communications: Branded return status pages, proactive return notifications, return drop-off reminders, delivery-to-returns-centre confirmations.
-
Customer service and return processing tools: Portals and operational tooling that allow customer service, warehouse, or store users to register, review, approve, reject, process, or close returns according to configured permissions and workflows.
-
Reporting and insight: Analytics on return registrations, return reasons, customer behaviour, logistics performance, processing outcomes, and related operational metrics.
-
Optional advanced features: cross-border returns support, marketplace or split returns handling, orderless or in-store returns, product recommendations, fraud and abuse screening, and resale or retention flows, where included in the contracted scope.
Prerequisites
-
The retailer must provide accurate and timely data on orders, items, customers, return policies, return addresses, carriers, services, and eligibility through the agreed-upon integration method.
-
Return eligibility, return reasons, compensation methods, approval rules, carrier options, labels, return locations, customer communications, and user roles must be configured and maintained.
-
Automated refunds, exchanges, instant refunds, store credit, gift cards, and return-save offers require the relevant ecommerce, payment, order management, inventory, or gift card integrations and may be limited by the retailer's platform capabilities.
-
Carrier labels, QR codes, pickup scheduling, label-free returns, customs documents, and tracking events depend on supported carriers, services, geographies, and carrier data quality.
-
Returns communications require return tracking numbers, original order references, customer contact data, and configured notification content and triggers.
-
Returns outside the standard data retention period, orderless returns, marketplace returns, split returns, and cross-border flows may require additional order data, system integrations, documents, or operational configuration.
-
Some capabilities are platform-specific or require additional enablement, such as certain Shopify refund, exchange, bundle, or cancellation workflows.
-
The retailer remains responsible for its return policy, refund terms, consumer-law obligations, customer consent, privacy notices, and any operational decisions made using Retain.
-
AI-generated, fraud-screening, or predictive outputs, where available, are provided for informational or decision-support purposes and should be reviewed before being relied upon for return approval, customer treatment, or operational decisions.
